We are seeking a detail-oriented Staff Accountant to join our finance team. This role is responsible for assisting with billings, accounts receivable, and general accounting support, ensuring accuracy, efficiency, and compliance with company policies. The ideal candidate will have strong organizational skills, the ability to manage multiple priorities, and a commitment to financial integrity.

WHAT YOU WILL DO:

billings and ACCOUNTS RECEIVABLE (AR) RESPONSIBILITIES

  • Lead AR collection efforts by contacting clients with past-due accounts, requesting payment status, and documenting communications, including escalation procedures for unresolved issues.
  • Assist with the invoice process, including preparing supporting documents, receipts, and submitting final invoices.
  • Accurately record collections, ACH transactions, and other incoming payments.
  • Work collaboratively with project managers to resolve client account discrepancies.
  • Provide client support related to AR discrepancies.

General Accounting Support

  • Assist project managers by gathering project data, including project name, address, scope of work, and fees for prospects, opportunities, and sold projects and input data into project-based accounting software.
  • Prepare and deliver lien waivers for invoicing purposes.
  • Manage Certificate of Insurance (COI) compliance, including vendor registration, maintenance, and payment processing through vendor portals.
  • Assist in the review and approval of employee expense reports.
  • Support payroll reporting and processing.
  • Assist in the preparation of documentation and reports for tax preparation performed by outside Certified Public Accountant (CPA).
  • Assist with general ledger data entry and other bookkeeping tasks.

WHAT YOU WILL NEED:

  • Associate degree in accounting, finance, or related field required; bachelor’s degree preferred.
  • Strong verbal and written communication skills with the ability to work effectively with internal and external stakeholders.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and ability to learn new software programs.
  • Excellent attention to detail, with strong proofing and auditing skills.
  • Self-motivated with the ability to work independently or collaboratively within a team.
  • Strong time management skills with the ability to prioritize and manage multiple tasks in a dynamic environment.
  • Discretion in handling sensitive financial and personnel information.
  • A team-oriented mindset with curiosity and a desire to grow alongside a passionate group of professionals.

ADDITIONAL INFORMATION:                                                         

Work Environment: Primarily in-office with flexibility for remote work based on business needs and performance.
Schedule: At least 40 hours, Monday – Friday. Normal company business hours are 8:00am – 5:00pm EST.
